Privacy Policy – AIO Secure

1. Introduction

AIO Secure (“App”) is provided and operated by AIO Services Pvt Ltd (“we”, “our”, or “us”). This Privacy Policy explains how we collect, use, store, and protect your information when you use AIO Secure.

AIO Secure is a role-based society security and management app used by Owners/Residents, Guards, and Secretaries/Admins. By using the App, you agree to this Privacy Policy.

2. Information We Collect
2.1 Personal information (provided by you or your society)
  • Name
  • Mobile number
  • Email address (if provided)
  • Flat / unit number, building, wing, society details
  • Role in society (Owner, Tenant, Guard, Secretary, Staff, etc.)
  • Profile photo / society logo / other images you choose to upload
2.2 Security & access information (QR passes and logs)
  • Visitor pass details (name/contact if entered, reason for visit, flat/unit, date/time)
  • Gate pass details (items/transfer reasons, timing as configured by society)
  • Vehicle pass details (vehicle number, pass status, scan logs such as IN/OUT time)
  • Entry/exit logs and approval/rejection actions performed by authorised users

These records are created and managed by your society’s authorised users and are visible only to roles permitted by the society.

2.3 Camera & photos (with your permission)

If you use QR scanning features, the App requests Camera permission to scan QR codes. You may also choose to upload images (e.g., profile photo, society logo) using your device camera or gallery, depending on your device and settings.

2.4 Location data (with your permission)

With your permission, we may collect approximate or precise location data for features like:

  • Validating or capturing society location during registration/onboarding
  • Address lookup / geocoding to help fill location fields
  • Security or fraud-prevention checks (where applicable)

You can control location access from your device settings. Some onboarding features may not work correctly without it.

2.5 Notifications (with your permission)
  • Push notification permission status
  • Device push token (used to deliver alerts like visitor entry, approvals, maintenance/challan updates)
2.6 Payments and transaction information (when you pay)

If you make a payment in the App (e.g., maintenance, challans, parking-related payments), payments may be processed by a third-party payment gateway (such as Razorpay). We may receive transaction identifiers and status information such as:

  • Order ID / Payment ID / Signature verification result
  • Amount, currency, date/time, payment status (success/failure)
  • Payer/account identifiers required for reconciliation (as provided by the payment gateway)

We do not store your full card details. Payment details are handled by the payment gateway and your bank as applicable.

2.7 Usage, diagnostics & device information
  • App usage data (screens visited, actions taken, timestamps)
  • Device information (model, OS version, app version)
  • Crash logs and performance diagnostics (to improve stability and reliability)
2.8 Data stored on your device

To keep you signed in and improve user experience, the App may store non-sensitive settings and session information locally (for example, auth tokens and app settings) using device storage mechanisms.

3. How We Use Your Information

We use the information we collect to:

  • Provide and operate the App and its features
  • Verify and manage user accounts and roles (Owner, Tenant, Guard, Secretary, etc.)
  • Generate, manage, and validate QR passes (visitor, gate, vehicle) and log scans
  • Send notifications about visitor entry, approvals, and security alerts
  • Manage society operations such as maintenance billing, challans and payment tracking (where enabled)
  • Improve performance, reliability, and usability
  • Provide customer support and respond to queries
  • Comply with legal and regulatory requirements where applicable
4. Sharing of Information

We do not sell your personal information. We may share information only in these limited situations:

  • Within your society: Data may be visible to authorised users in your society (e.g., guards, secretaries, owners) based on roles and permissions required for security and management.
  • Service providers: We may use trusted third-party providers for hosting, storage, notifications, analytics, and other infrastructure needed to operate the App. These providers are required to protect the data and use it only to provide services to us.
  • Payment processing: When you pay through the App, payment processing is handled by a third-party payment gateway (such as Razorpay) and your bank. We receive only the information needed to confirm and reconcile payments (e.g., transaction IDs and status).
  • Legal requirements: We may disclose information if required by law, regulation, or valid legal request, or to protect the rights, property, or safety of our users, societies, or the public.
5. Data Security

We take reasonable technical and organisational measures to protect your information, including secure hosting, access controls, and encryption in transit where appropriate.

No system is 100% secure. While we work hard to protect your data, we cannot guarantee absolute security of information.

6. Data Retention

We retain information for as long as necessary to provide the App and services to your society, or as required by law.

  • Account/profile data is retained while your society remains active on the platform.
  • Visitor/vehicle/gate logs may be retained for a period defined by your society’s policy or legal obligations.
  • Payment transaction references may be retained for accounting, reconciliation, and legal compliance purposes.
7. Your Rights & Choices

Depending on local laws, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete data
  • Request deletion of your account or certain data (subject to society/legal requirements)
  • Withdraw consent for optional permissions (e.g., location, notifications, camera)

For account/data requests, you can:

  • Use in-app options where available (for example, the in-app “Delete Account” option)
  • Contact your society’s Secretary/Admin for society-managed records
  • Email us at support@aioappservices.com

Note: Some society security logs may be retained as per society policy or legal requirements even if you request deletion.

8. Children’s Privacy

AIO Secure is intended to be used by adults (e.g., owners, tenants, guards, secretaries) on behalf of their households. We do not knowingly collect personal information directly from children.

9. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date above.
